Experience/Skills: A minimum of two to four years of experience as an Office Executive/Administrative Assistant/Secretary with a small to medium scale industry. Greeting visitors and answering phones. Handling and assisting with document distribution and other administrative projects and responsibilities. Returning phone calls and emails on behalf of the company and company staff. Arranging and attending meetings as and when required. Performing basic data entry as required. create and maintain recordkeeping systems. Carry out administrative duties such as filing, typing, copying, binding, scanning. Coordinating staff meetings. Sending invoices and collecting receipts. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
Exceptional communication, analytical, planning, and organizational skills. Self-motivated, results driven and adaptable to changing priorities with a sense of urgency in a fast-paced environment. Excellent computer skills including Microsoft Office. Strong technical domain control. Good problem-solving skills
Strong organization skills with a problem-solving attitude. Excellent written and verbal communication skills. Attention to detail.
Excellent command in English language is a must, speak, read, write, and listen.
Job Duties:
Typing correspondence and forwarding to the clients and organizations on behalf of the company. Taking dictation from the President and typing letters. Record and prepare minutes of meetings. Making arrangements for meeting and appointments with clients. Looking after upkeep and making travel/hotel arrangements for visiting clients. Liaison with transport companies for timely delivery of consignments. Handling of purchase of various items like stationery. Maintaining files, manage whole filling system and documents process of the department. Liaison with insurance agencies, tax office, utility services, maintenance of equipment and supplies for uninterrupted and continues services. Answer telephone enquiries and relay telephone calls, greet visitors and direct visitors to president or appropriate person. Looking after day-to-day maintenance of accounts, handling petty cash ledger, vouchers. Open and distribute incoming mail and other material and co-ordinate the flow of information internally and with other departments and organizations.
