Job Title: Administrative assistant - office 

Job Type: Full time and  Permanent

Job Timings:  Daytime and fixed( 30-40 hrs for sure)

Job Wage: $24/hr

Job Duties

  • Provides administrative support to ensure efficient operation of office.
  • Answers phone calls,answer emails, schedules meetings and supports visitors.
  • Schedule and confirm appointments and meetings in offce and with clients
  • Provides information by answering questions and requests.
  • Greet visitors, ascertain nature of business and direct visitors to appropriate person
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Comiitted to Organize the paper mails and office bills as soon as arriver.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material.
  • Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and organizations
  • Set up and maintain manual and computerized information filing systems
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques
  • Arrange, schedule office events and make reservations
  • Help supervise and train office staff in procedures and in use of current software
  • Supports office by performing tasks related to organization and strong communication.
  • Contributes to team effort by accomplishing related results as needed.

Qualifiaction

  • Minimum 1 year of experience working in an administrative or a receptionist role is required
  • Minimum Secondary (high) school graduation certificate is required but Post-secondary education will be preferred

Key Requirments

  • Excellent working knowledge of MS Office - Word, Excel, PowerPoint, and Outlook
  • Strong written and verbal communication skills
  • Strong organizational and ability to analyze
  • Ability to work independently
  • Ability to work collaboratively within an office environment
