Job Duties
• Maintain office services by organizing office operations and procedures, controlling correspondence, maintaining filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions
• Precisely and effectively establish work priorities for our team, conduct analyses of administrative operations and co-ordinate acquisition of administrative services
• Delegate work to staff, and ensure deadlines are met and procedures are followed
• Completes operational requirements by scheduling and assigning employees and following up on work results
• Maintaining regular communications with company director and other team members in company to clarify priorities as well as discussing company accomplishments, deadlines, and operations
• Co-ordinate and plan for office services, such as equipment, supplies, forms etc
• Maintain inventory and budgetary controls
• Assemble company data and prepare periodic and special reports, manuals and correspondence
• Comply with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions
• Assist with general office administration including answering phones, filing, photocopying/scanning, dealing with mail, e-mail and couriers
• Coordinating and managing appointments, showings and meetings
• Respond to telephone, email, walk-in and website contacts form inquiries from existing and new clients, management, vendors, bylaw officers and other inquirers
• Collect, process and distribute incoming mail as well as compose and send correspondence for other staff
Job requirements to qualify for position
• Completion of secondary school is mandatory. A university degree or college diploma in business or administration will be an asset.
• 2-3 years of related experience in administration, senior clerical, executive secretarial or a related field is required. Completion of a college program or university degree in business or administration or a related field may lower the requirement of experience to 1-2 years.
• Excellent communication skills in English.
• Other qualifications: Ability to work under pressure with minimal supervision, High energy and strong work ethics to meet deadlines.
• Good information technology skills
