We are seeking a highly organized and detail-oriented Staffing coordinator/ Administrative Assistant with a background in recruitment and staffing to join our dynamic team. The ideal candidate will have experience in handling administrative duties and supporting recruitment processes to ensure smooth and efficient operations within our organization.


Key Responsibilities:
- Manage recruitment activities including posting job ads, facilitating responding to applicants, and scheduling interviews with lead recruiters.
- Prepare, proofread, and manage several job postings across several occupations and industries.
- Handling incoming and outgoing communication (phone, email, SMS messages etc.)
- Coordinate and optimize internal information flow, as well as liaise with other departments and organizations to facilitate seamless operations.
- Schedule and confirm appointments and meetings, manage calendars to ensure optimal time management for the employer.
- Implement and maintain both manual and computerized information systems, ensuring accessibility and confidentiality of records.
- Welcome visitors with professionalism, determining the nature of their business and directing them to the appropriate personnel.
- Record and prepare minutes of meetings, capturing essential discussions and action items for future reference.
- Arrange and oversee schedules of workers and travel when applicable.
- Organize conferences and events as required, ensuring successful planning and execution of corporate functions.


Requirements:
- Minimum of a college diploma
- 1-year of experience as an administrative assistant
- Experience working in a fast-paced recruitment and staffing organization with a strong understanding of the industry's best practices.
- Proficiency in using ATS software and familiarity working with other recruitment platforms.
- Excellent communication skills, both written and verbal, with the ability to prepare and proofread documents accurately.
- Strong organizational skills, with a keen attention to detail and the ability to multitask effectively.
- Proficiency in Microsoft Office Suite and other relevant software.
