Job Overview
Releva Chronic Pain Centre is a multidisciplinary clinic in Etobicoke focused on the assessment and management of chronic pain. We are seeking a highly organized Medical Administrative Assistant to join our office team. The successful candidate will provide administrative and clerical support to physicians and allied health professionals, ensuring the clinic operates smoothly and patients receive timely and compassionate service.
Main Duties, Responsibilities, and Tasks
The Medical Administrative Assistant will perform some or all of the following duties. These duties align with the National Occupational Classification (NOC 13112) for medical administrative assistants.

Appointment scheduling and communication – greet patients and visitors, answer phone calls and electronic enquiries, schedule and confirm appointments for physicians and allied health providers, and relay messages to medical staff and patients

Document preparation and data entry – enter and format medical reports and correspondence using electronic medical records (EMR) systems and standard office software; prepare spreadsheets, forms and other documents for review.
- Patient intake and records management – interview patients to obtain demographic and medical information for forms, insurance documentation and case histories; complete insurance and other claim forms; initiate and maintain confidential medical files and records and ensure accuracy and privacy.

Meeting and finance support – draft agendas for meetings and intake, transcribe and distribute minutes; prepare financial statements and billing, process payments and reconcile accounts.

Office organization – establish and maintain document tracking, filing and monthly reporting systems; order office and medical supplies, maintain inventory and coordinate equipment servicing.

Process improvement and supervision – determine and establish office procedures and routines; supervise and train other staff in administrative procedures and use of current software when required.

Clinic flow and collaboration – prepare exam rooms between patients, ensuring they are clean and stocked; field patient inquiries; communicate with referral sources regarding each file; assist physicians and staff with electronic medical records and problem-solving; and work collaboratively with other members of the office team.
Employment requirements

Education: Completion of secondary school is required. A certificate or diploma in medical office administration or a related field is preferred but not required. Any prior training in medical terminology, medications, management software and EMR systems or other specialized courses for secretaries or medical secretaries is also preferred but not required.

Experience: At least one year of experience in an office environment (medical office experience preferred). Knowledge of EMR software and proficiency with Microsoft Office (Word, Excel) and spreadsheets is necessary.

Skills: Excellent communication and interpersonal skills; ability to type at least 50 words per minute; strong organizational skills and attention to detail; ability to maintain strict confidentiality; and a service-oriented attitude.

Other requirements: Ability to work in a fast-paced clinic environment; reliability, professionalism and punctuality; and willingness to train and supervise others as needed.

Full-time schedule (~40 hours per week) with shifts during clinic hours; occasional evening or weekend coverage may be required, with potential for possible over-time pay, at the discretion of the employer.
