We are seeking a dynamic person with excellent organizational and communication skills, who can quickly integrate into our business and take on the position of Administrative Assistant to the Clinic Director. The ideal candidate should have a few years of experience in a similar position, be familiar with medical terminology, and ideally have related qualifications, with at least 2 to 3 years experience in a similar position.


The ideal candidate should have a minimum of High School diploma or College certificate and a good command of the English language.


The position offers Medical benefits, is a permanent, Full time 30 to 40 hours per week, and requires you to have basic security clearance and valid driver's licence. Public transportation is also available.


Duties and responsibilities



  • Provide administrative support to the clinic director

  • Determine and establish office procedures and routines

  • Complete insurance and other claim forms as required

  • Enter and format electronically based medical reports and correspondence and prepare spreadsheets and documents for review

  • Facilitate the clinical supervision and reassessment processes

  • Prepare draft agendas for meetings and take, transcribe and distribute minutes

  • Generate reports, including scheduled and ad-hoc reports

  • Supervise and train other staff in procedures and in use of current software

  • Establish and maintain various internal office administrative support procedures such as document tracking and filing and monthly reporting

  • Generate billing files and submit to Ministry

  • Order medical supplies

  • Complete error claims


 


Specific Skills


 



  • Ability to supervise up to 4 people

  • Schedule and confirm appointments

  • Perform general clerical work, such as order supplies and maintain inventory

  • Maintain filing system

  • Ability to keep track of inventory for medical and laboratory supplies

  • Previous experience in a medical office serving multiple physicians is highly desirable
